Number of items

Like the artworks table, populating this field with a number automates some of the other fields/statuses and tracks our audit progress.

Unless we disagree with the accuracy of the data recorded in the extent field, we should match the number of items to this data. If the extent field notes ‘2 artworks’ then the number of items should be recorded as ‘2’ if both items are found.

If the extent records more than 1 item, i.e. '1 artwork and 1 note' but both parts are unaccounted for at the point of audit, record the number of items as '1'.

Under 'Item absent' you would select 'Number of items does not match catalogue' and you would update the 'item absent comment' field to express what part was missing. See PP/RSI/B/2/8/1 in QB.

This would be the same process for works found that were greater than the extent recorded.
