Part numbering scenarios for catalogued material.
B.1) Fully on catalogue – duplicates or multiple impressions – bibliographic and item records available on Sierra
How to process:
- Open the Sierra record and add .1, .2 etc. to the existing item records in the shelfmark field, then Save.
- Select Part Numbered form the pick list in the Part Numbered field;
- Include the iconographic numbers with the newly assigned part numbers in the Part Numbers Assigned field;
- Add part numbers to the labelling on the housing;
- Add part numbers next to the marking on the object (soft pencil).
B.2) Partially on catalogue – duplicates or multiple impressions – bibliographic and only one or some item records available on Sierra
or
B.3) Partially on catalogue – duplicates or multiple impressions – bibliographic and no item record available on Sierra
How to process:
Option1
- Select Phase 2: item records to be created in the Part Numbered field;
- DO NOT apply any part numbering on the housing or objects until Sierra is updated.
- Select ‘Partially’ in the On Catalogue? field.
- Select ‘Labelling’ in the Housing/Labelling field
NB. Item records will be created at a later stage, but as part of the two-year inventory scope. Once these have been created, please remove Phase 2: item records to be created and replace with ‘Phase 2: item records created’.
Option2
- Open the Sierra record and create item records as needed, also adding part number to the shelfmark field for each item record.
- Add part numbers to the labelling on the housing;
- Add part numbers next to the marking on the object (soft pencil).
- Include the ‘I’ numbers with the newly assigned part numbers in the Part Numbers Assigned field;
- Select ‘Phase 2: item records created’ from the pick list in the Part Numbered field.
