Uncatalogued items details table

This table is where we can import box and folder lists for large groups of visual materials listed in excel.

During inventory we often come across large groups of material in the same housing. Inventorians can decide to rehouse the material and process/audit at item level, but where that is not practical we can create folder/container lists at item level, keeping the material together in the housing and can then link the data in QB.

In the artworks table we can give a description to the group, recording the number of items attached to a single temporary number. We can record object name(s) and data as normal but a condition rating should reflect the item in the worst condition found.

In an excel spreadsheet/template we can record a unique title/ brief description, creators, alongside other numbers and sensitivities at item level, with each item referencing the temporary number given to the group.

Once the list is imported into the uncatalogued details table, the temporary number associated with each item is linked to the group description and temporary number in the artworks table.

This is particularly useful if the container is full and rehousing the individual items would mean they could no longer be stored together. (We can note future housing considerations for the next phase of work). It also means we can process collections more speedily without compromising on item level assessment/data collection.
