All CSAM and suspected CSAM needs to be reported and logged.
Staff should email details of the material to Wellcome's Safeguarding Lead for review and confirmation of its status.
It is important that only the details (or link, if it is a digitised item) should be shared, and the Safeguarding Lead will review the original in situ. Photographs or copies should not be taken and shared. Doing so may inadvertently constitute a further offence by producing additional copies of, or distributing, CSAM.
The Safeguarding Lead will then:
Review the item with the Collections Information Analyst.
Add a summary and the outcome of the review to a running log held within the Legal Case Management System, and backed up in SharePoint. All items will be logged regardless of the outcome. This log will be owned and edited by the Safeguarding Lead, and the SharePoint version shared with the Collections Information Manager.
Save all relevant emails and documentation to the 'CSAM enquiries and advice' part of the Legal Case Management System.
Inform the internal review panel of the query and discuss as necessary. The internal review panel consists of the Collections Information Manager, Collections Information Analyst, Safeguarding Lead, and the Legal Business Partner.
Inform the member of staff raising the query of the outcome of the review once a decision has been made.
Liaise with the Collections Information Analyst to ensure necessary record amendments are made, including adding information of the assessment, regardless of outcome. If an item is made 'safeguarded access' it will also be appropriately.
