How to use these pages

The Enquiries GitBook documents the processes and procedures for managing the Collections & Research inbox, which is owned by Collections Information. It replaces the CI Enquiries guidelines.

The Admin group pages contain information on the administration of enquiries, from how to update the auto-reply to a list of useful pages to bookmark.

There is a page for each of the most common types of enquiries that we receive. These are arranged into broadly thematic groups in order of frequency:

  • How to...? for enquiries about general searches, referencing and requesting loans.

  • Access & Sensitivity for enquiries relating to access statuses, access to different types of material and improving the catalogue through amendments (including dealing with offensive language).

  • Images & Copyright for enquiries relating to photography service and copyright statuses.

  • Acquisitions, Dispersals & Provenance for enquiries relating to offers of material, questions about provenance and dispersals/deaccessioned material.

Each page contains an outline of the process to follow when dealing with that particular kind of enquiry, followed by a range of stock replies to use which can be adapted if necessary.

Some pages do not contain information about a process if the enquiry only requires a reply rather than additional action by the responder.

Lastly, the Resources group contains pages of internal resources responders might want to consult to help answer enquiries. This group may develop into an iterative section if considered useful.
