What inventory phase?

Rules for completing column M of the scoping spreadsheet

The inventory is broken into four phases. See phrases of work page for further details.

Choose an option from the pick list:

  • 1

  • 2

  • 3

  • 4

  • n/a

All phase 1 material should already be flagged so this option shouldn’t be required.

Select '2' if:

  • the answer is no or some in any of the following columns: ‘contains date’, ‘contains extent’, ‘contains ds barcodes’, ‘contains box no’

  • OR the answer is neither to ‘contains title and/or description’

  • OR there is any potential material to extract (digital, AV or cons)

  • OR there is any born-digital material (it may have already been extracted but still requires checking)

  • OR there are any other issues flagged in the notes field querying the number of boxes, location, updates to data in the accession record, inaccurate information in the CLD etc.

Select '3' if:

  • the answer is yes for all of the following columns: ‘contains box no’, ‘contains title and/or description’, ‘contains date’, ‘contains DS barcodes’, ‘contains extent’

  • AND there is no material to extract

  • AND there are no other outstanding issues recorded in the Notes column

  • AND the accession record and CLD are accurate and do not need updating

Select '4' if:

  • the material is marked as ‘out’ in the Deepstore inventory

  • AND a box list meeting all requirements exists

  • OR you have reason to believe that this accession has already been catalogued

It is unlikely that any collections will be marked as phase 4 at this stage. If in doubt, select phase 2.

Select 'n/a' if:

  • this is a smaller accession listed only in a CALM accession record

  • AND the associated CLD is accurate

  • AND all criteria for phase 3 have been met

  • AND the accession record is accurate and up to date
