Notes about the resource being described in the record
500 General note (R)
A free text field used to record interesting or useful information about an item that doesn't fit in any other field. Some specific examples are listed below but the field can be used to record any information the cataloguer deems relevant.
Check that a specific field does not already exist before using this field.
If the note is a quote from the item or another source, use speech marks and state the source. Use exact format/punctuation, i.e. "Note."--From source.
Note on source of title Note where the title has been sourced from if not from the title page (usually the cover).
Index note Note if there is an index but no bibliography (if there is a bibliography, this information will go in a 504).
Exhibition catalogue note Note if the book is an exhibition catalogue or produced to accompany an exhibition (follow this format/edit existing to match)
Images from Wellcome Collection Note if the book includes images from Wellcome Collection material. The items pictured should have a 585 as part of the loan circulation process.
If the note is about a specific issue rather than the journal as a whole, use |3 to specify the issue.
Note on source of title For journals, this is usually included in the source of description 588.
Note on source of title
Note on date Note if there is a more specific date stated anywhere on a zine that you think would be relevant or useful in the record (e.g. if it’s a biographical issue detailing a particular period in the creator’s life).
Note on binding Note if a zine has non-standard binding (e.g. hand-sewn). If the zine is a 6-page booklet (or smash book), check if there is a poster on the overleaf and if so, include this in the note. You don't need to do this is there is no poster, assume it's standard-binding/volume.
Note on inserts Note any inserts (e.g. stickers, business cards, bookmarks) that you are keeping with the zine. This will usually require a |5UkLW.
If you have described any accompanying items in a 300 |e, you should also describe these in a 500 note. Accompanying items don't require a |5UkLW.
Note on event Note anything created in Zine Club or at a Wellcome event and accessioned for inclusion in the collection. Also add a 759 to identify it as Wellcome-related/produced.
Add a 710 for Wellcome Collection if appropriate.
Use this format/punctuation.
Printed by Wellcome Add a note if a zine is a digital zine which has been printed by Wellcome and include a |5UkLW.
If a copy has been saved to the collections file digital zine downloads (you can save one) – add an internal note to the order record i.e.: Digital copy saved in collections file (Mx Coman_Jonah Coman)
If the zine is freely available to view and download online, also add an 856.

502 Dissertation note (R)
Note if the item is a dissertation or thesis.
504 Bibliography, etc. note (R)
This field is linked to code b in the fixed field element Cont: Nature of Contents. Note to indicate if there is a bibliography or bibliographical references in the item. Doesn't have to be formal bibliography - "references" or "notes" should also be included.
If references are in footnotes or at the end of chapters, do not include page numbers.
Also include 'and index' if the item also contains an index. If it includes an index but no bibliographical references, detail this in a 500.
505 Formatted contents note (R)
Note to list the contents of an item where it will enhance the catalogue record (e.g. includes keywords that may be searched on but don't appear in title or subject headings).
Use first indicator 0 for full contents, 1 for incomplete contents or 2 for partial contents.

506 Restrictions on access note (R)
Local Wellcome procedures are in the Sensitivity & Access Guidelines.
The default assumption is that material is open, in which case a statement is not required, unless there are additional considerations.
For uncatalogued material that has a 590 field, make sure this is included in the record (in already in acquisition record templates)
Always pair a 506 (catalogued material) with a 901
508 Creation/Production Credits Note (R)
Note about the credits for individuals or organizations (other than members of a cast, use 511 for this) who have participated in the artistic or technical production of the work to a significant degree.
Legacy records have used 508 for attributions & possible attributions, details of inscriptions and notes on creators.
509 Retrieval staff note (Wellcome current)
This is a local note (should not be made visible on the public catalogue) used historically for Deepstore barcodes for Medical Officer of Health reports and other material sent off-site after digitisation.
510 Citation/References Note (R)
References to works that review or cite the item being catalogued. Include page numbers if known.
Use APA style when writing references: Author. (Publication date). Title. Volume, page(s) For titles with no known author the format is: Title. (Publication date). page(s) For journal articles the format is: Author. (Publication date). Title. Source [i.e. Journal, volume, page(s), DOI]

Note the participants, players, narrators, presenters or performers. Primarily used for AV records.
Note: Works does not generate a display constant if indicator = 1, therefore use 0 and specify Cast: at the start of field.
Standardise formatting of the field to match 508 or use plain English.
514 Lettering note (local) (NR)

Used to record inscriptions on objects from the Visual & Material Culture collections. Transcribe the inscription exactly as it appears on the object. See Inscription in the Visual Cataloging Framework.
515 Numbering Peculiarities Note (R)
Note to describe irregularities and peculiarities in numbering or publishing patterns.
Free text field, use plain English.
516 Type of Computer File or Data Note (R)

520 Summary, etc. (R)
Note to add a summary or description of the item. Displays as Description under 'About this work'.
Indicators
For summaries, both indicators should be blank.
For content notices (usually used in zines), the first indicator should be 4.

521 Target Audience Note (R)
Note the target audience for the described material (if relevant). Field is linked to fixed field element Audn.
Use 1st indicator to specify granularity, otherwise leave blank to specify "audience" generally.
This is a free text field, but prioritise understanding over standardisation and remove Americanized terminology if it's confusing.
524 Preferred Citation of Described Materials Note (R)
Cite as, used for Wellcome identifiers (field does not end in a full stop)

530 Additional Physical Form Available Note (R)
Note about a different physical or digital format in which the described item is available. Prefer to only keep/include if other format available through Wellcome Collection.
532 Accessibility Note (R)
Not currently used but potential for AV and born digital - indicator 1 = Accessibility features, provides a description of accessibility features in a resource, such as subtitles, signing etc.
535 Location of Originals/Duplicates Note (R)
Note about the repository which is custodian of the originals or duplicates of the described materials. Only use when the originals or duplicates are housed in a different repository from that of the materials being described.

536 Funding Information Note (R)
Used locally in any format of material. Use |c to separate the funding number (used locally)

Note to describe terms governing the use of the materials after access has been provided (. Expect licences here, use 542 for copyright statements.

Note to record information known about the item that may be used to determine copyright status.
Do not use to record printed and published material which follows standard UK copyright law (copyright date assumed from publication date, or specifically recorded in 264 4). Public Domain Marks are recorded in 540.

Use specific subfields to record information correctly/consistently.
593 is obsolete. Change to 542 with correct indicators and subfields.
Some legacy data may not utilise full subfield use (update as you see them) i.e. Wellcome Trust ; 2017 > |dWellcome Trust|g2017.
Should this be 540? 542 is mapped to CALM for this purpose.
544 Location of Other Archival Materials Note (R)
Primarily used to record relationship between material extracted from an archive, or archival material directly related to individual item.
Indicators
No information provided (i.e. same provenance & same repository) = first indicator blank
Related materials (i.e. different provenance & same repository) = first indicator 1

545 Biographical note (R)
Note to record biographical information about an individual or historical information about an institution or event.
Biographical sketch of individual = first indicator 0
Administrative history of and organisation or event = first indicator 1
546 Language note (R)
Note to provide information about the language of an item if it is a translation or features more than one language. Field 041 should also be used to indicate the languages used in an item and this note should expand on what is recorded there.
Can be used in any format.
561 Provenance - ownership & custodial history (R)
Displays as Ownership history in Works. Use to add a free text note on the provenance of the item.

Public note = first indicator 1
Private note = first indicator 0 (unlikely to use)

For records with multiple copies, use |3 to identify the copy to which the information applies.
For items not unique to Wellcome, use |5UkLW
Add a 700 field if appropriate/useful.
563 Binding information (R)
Note to record relevant, interesting or unique information about the binding of an item (usually used for early printed books).
Also include types of folds.
For items unique to Wellcome, use |5UkLW
580 Linking entry complexity note (R)
Note to describe a relationship between two items that can't be described using other linking fields, or to clarify the linking.
Use for visual material to link connected works (e.g. two works in a diptych).
Pair with 787 (creates relationship).
581 Publications About Described Materials Note
Not used, use 510 for references about an item.
585 Exhibition note (R)
Note to document where and when the item has been exhibited. Include the name of the exhibition, venue, location and dates.
Can be used in any format (usually visual).
Exhibition Caption
If the text from a Wellcome exhibition is known, add it as a separate 585 using |b, below that of the exhibition note for that exhibition. |b has been added locally to Sierra for specifically recording caption/labels.
586 Awards Note (R)
Mainly used in imported records, but could contain Wellcome-related awards like Wellcome Book Prize shortlisted works etc.
588 Source of description note (R)
Note to give information on the source of information for the catalogue record.
It is usually used in journal records to specify which issue the record is based on, but can be used in any format type to describe where information is taken from (e.g. a print record based on an online resource or vice versa).
Use first indicator 0 for 'source of description'. Use first indicator 1 for 'latest issue consulted'. You can leave the first indicator blank if this information is included in the note.
In journal records, enter two 588s, one for source of description and one for latest issue consulted.
Record title source in this field (not a general 500).

590 Local note to recorded uncatalogued status
This data isn't surfaced in Works, but is used for collection management.
Make sure it's paired with a 506 (public note).
