0XX
Core fields
001 Control number (local) (NR)
For imported records this field contains a system generated number assigned by OCLC. You can use it to search the command line in Connexion (preceded by an asterix *)
When used locally, this field contains a unique Wellcome Collection identification number for the object being catalogued. They are currently only mandatory for the core collection, so books/journals/pamphlets do not use this field locally.
For visual material, It is created from the Sierra system number (b number) of the catalogue record: drop the b and replace the last number with an i.
b30496639 -> 3049663i
The Reference Number (i number) should also be added to 524 & Shelfmark in the Item record.
For objects requiring part numbers, add .1 .2 .3 etc. to the main i number for the whole object or group of objects being described.
e.g. The Heather Spears January 1987 drawings are described as a collection under 3329265i, individual drawings are parts of that i number
For objects that are uncatalogued, but have a record in Sierra and have been assigned an Inventory number, add the Inventory number as the unique Identifier in 001. When the object is catalogued replace the 001 with the i number and move the Inventory number to 903.
Unique references for ephemera have a 3 letter format, then numbers separated by slashes (previously ephemera references were formatted as EPH23, EPH23:1 etc.) They used to be directly related to the shelfmark, but this might not always be the case in the future (items may also be part numbered)
The Z control number is the zine's unique reference. Use the next number in the list.
This applies to both physical and digital zines.
Only physical zines will have the unique ref no repeated in the item record (shelfmark).
For oversize zines, do not add O/S in 001 (add only in shelfmark)
If a zine is part numbered, add to each record:
020 International Standard Book Number (R)
Contains the International Standard Book Number (ISBN) - use subfield |z for a cancelled ISBN.
If printed in a book a 10 or 13 digit ISBN is usually separated by hyphens, periods, or spaces. Do not enter the hyphens, periods, or spaces.
022 International Standard Serial Number (R)
Contains the International Standard Serial Number (ISSN) found on serials and journals.
ISSNs consist of eight digits in two groups of four, separated by a hyphen.
An e-ISSN is likely to be different to the print. Put this data in subfield |l rather than repeating the field. You can also add subfields |m , |y and |z for cancelled or incorrect ISSNs.
You can search the ISSN portal for more information (or for tracing journal changes): https://portal.issn.org/
If your identifier can't be put in 020 or 022, consider 024.
040 Cataloging Source (NR)
Field 040 has a logical relationship to the fixed field element Srce.
The preferred order of 040 subfields is: |a, |b, |e, |c, |d
RDA compliant records need to have each of these subfields in a 040 field:
|b = language of cataloging (not repeatable)
|e = description conventions (repeatable)
i.e. 040 EUW|beng|erda
|a = the OCLC member symbol for the library that created the record. EUW is Wellcome Collection's symbol, which is automatically applied in the cataloguing process
|d = the OCLC member symbol for the library that modified the record. EUW is Wellcome Collection's symbol, which is automatically applied in the cataloguing process
In addition to complying with RDA, AV items also comply with FIAF so subfield |e is repeated for each descriptive convention:
041 Language Code (R)
Codes for the languages associated with a resource when the fixed field element Lang is insufficient to convey full information for multilingual resources, resources that are translations, or resources where a medium of communication is a sign language.
Use the MARC code list for languages
If this field is used, pair it with a human-readable 546 field to describe the languages in a note.
1st indicator = 0
Repeat |a for each language identified
Other subfields are available to correctly and specifically describe each language present
1st indicator = 1
Repeat subfield |a for each language that has been translated from the original.
Use subfield |h for the language code of the original.
Other subfields are available to correctly and specifically describe each language present
089 Image reference number (copy photograph number - Wellcome current) (R)
A local field for recording image reference numbers that have letter prefixes, photographed by Wellcome (i.e. M series glass plate negative numbers, L series, V series and so on).
See Enquiries guidance for more information on how to use this field: Online/digital images with static Miro metadata
The indicators are both 0
The image number has leading zeros (0) removed and replaced with a space, so M0009376 -> M 9376
This field is indexed in Sierra and can be searched using "o Reference number" in the same format as the field is constructed (so no leading zeros and a space)
Images can also be linked in a 962 field. Records with M series images/glass plate negatives that have been re-catalogued in CALM also have a 787 field.
The existence of this field can create record merging (and removal can break a merge)
Optional/cooperative fields (for information)
There are lots of fields in the 0XX that are used in cooperative cataloguing, but we don't utilise them/add them at Wellcome.
Some are more useful than others though, and they're listed in the table below:
