Updating Quickbase after cataloguing

Please note: wait to update Quickbase after the bib and ebib records have been created in Sierra.

1. Open up Quickbase and search by the temporary identifier. Click the pencil logo to the left of the first column to edit.

2. Add the ebib and source item bib numbers.

3. Copy and past the archive reference no. (i.e. the temporary identifier) into the 'Shelfmark (or temporary identifier)' box.

4. Add the archive reference number without the slash and include the 'a' prefix to link it to the digitised record. e.g. SAIPA/B/5/3/5a.

5. Add the Online Access Status by opening the drop down menu. Please note the Online Access Status is based on the results of both the sensitivity/data protection and the copyright risk assessments. For example, if an item is restricted at the sensitivity/data protection assessment stage, it will be restricted at the online access stage. An item which has no sensitivity issues can still fall down at the copyright stage and need to be suppressed for copyright reasons.

6. Add the Access Status for Sensitivity/ Data Protection via the drop down menu.

7. Add the Access Licence via the drop down menu.

8. Add the Copyright Risk Assessment.

9. Add any Copyright Notes to support or explain the Copyright Risk Assessment.

10. Update the Ingest Status to 'QA Completed'.
