AV cataloguing workflow
You'll receive an email from [email protected] saying that 'The following AV items have been uploaded to our S3 bucket this week.' Attached will be a csv file listing the files. The first column should include the batch no. Make a note of this.
Download the digitised files. See Accessing digitised material for instructions.
Create two records in Calm, one for the physical item and another for the digitised file. Differentiate the two by using a suffix to the reference and public reference number e.g.:
SA/IPA/B/5/4/6 - physical item
SA/IPA/B/5/4/6a - digitised item
Catalogue both these records. The physical item record contains all the details regarding the description of the item.
Once both are catalogued, set records to 'harvest' and 'catalogued'.
Using the label maker, print the archive reference number and label the physical item.
Wait for the bib and ebib records to be created in Sierra.
Update Quickbase. See Updating Quickbase after cataloguing for instructions.
Notify a Digitisation Officer that the cataloguing is complete so they can upload it to Goobi.
