## Core fields

## [001](https://www.loc.gov/marc/bibliographic/bd001.html) Control number (local) (NR)

For imported records this field contains a system generated number assigned by OCLC. You can use it to search the command line in Connexion (preceded by an asterix \*)

When used locally, this field contains a unique Wellcome Collection identification number for the object being catalogued. They are currently only mandatory for the core collection, so books/journals/pamphlets do not use this field locally.

{% tabs %}
{% tab title="Visual" %}
For visual material, It is created from the Sierra system number (b number) of the catalogue record: drop the b and replace the last number with an i.

{% hint style="success" %}
b<mark style="background-color:green;">3049663</mark>9 -> **3049663i**
{% endhint %}

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  3049663i
{% endhint %}

The Reference Number (i number) should also be added to [**524**](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/5xx#id-524-preferred-citation-of-described-materials-note-r) & **Shelfmark** in the Item record.

For objects requiring **part numbers**, add .1 .2 .3 etc. to the main i number for the whole object or group of objects being described.&#x20;

e.g. The Heather Spears January 1987 drawings are described as a collection under 3329265i, individual drawings are parts of that i number

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  3329265i.1
{% endhint %}

**For objects that are uncatalogued, but have a record in Sierra and have been assigned an Inventory number**, add the Inventory number as the unique Identifier in 001. When the object is catalogued replace the 001 with the i number and move the Inventory number to 903.

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  INV.2022/3002
{% endhint %}
{% endtab %}

{% tab title="Ephemera" %}
Unique references for ephemera have a 3 letter format, then numbers separated by slashes (previously ephemera references were formatted as EPH23, EPH23:1 etc.)\
\
They used to be directly related to the shelfmark, but this might not always be the case in the future (items may also be part numbered)

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  EPH/23/1
{% endhint %}
{% endtab %}

{% tab title="Zines" %}
The Z control number is the zine's unique reference. [Use the next number in the list](https://wellcomecloud.sharepoint.com/sites/wc2/cr/ci/Cataloging/Forms/AllItems.aspx?viewid=db77d873%2D209a%2D4cc1%2Dacff%2Dd5da2addf505\&id=%2Fsites%2Fwc2%2Fcr%2Fci%2FCataloging%2FGeneral%20resources%2FShelfmarks%20%26%20locations).

This applies to both physical and digital zines.&#x20;

Only physical zines will have the unique ref no repeated in the item record (shelfmark).

For oversize zines, do not add **O/S** in `001` (add only in shelfmark)

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  Z176
{% endhint %}

If a zine is part numbered, add to each record:

{% hint style="info" %} <mark style="background-color:blue;">**001**</mark>  Z1450.1

<mark style="background-color:blue;">**001**</mark>  Z1450.2
{% endhint %}
{% endtab %}
{% endtabs %}

## [020](https://www.oclc.org/bibformats/en/0xx/020.html) International Standard Book Number (R)

Contains the International Standard Book Number (ISBN) - use subfield **`|z`** for a cancelled ISBN.

If printed in a book a 10 or 13 digit ISBN is usually separated by hyphens, periods, or spaces. Do **not** enter the hyphens, periods, or spaces.

{% tabs %}
{% tab title="Books/pamphlets" %}
{% hint style="info" %} <mark style="background-color:blue;">**020**</mark>  9780685749012<mark style="background-color:blue;">**|q**</mark>(paperback)

<mark style="background-color:blue;">**020  |z**</mark>97806230380614<mark style="background-color:blue;">**|q**</mark>(hardback)
{% endhint %}
{% endtab %}
{% endtabs %}

## [022](https://www.oclc.org/bibformats/en/0xx/022.html) International Standard Serial Number (R)

Contains the International Standard Serial Number (ISSN) found on serials and journals.&#x20;

ISSNs consist of eight digits in two groups of four, **separated** by a hyphen.

An e-ISSN is likely to be different to the print. Put this data in subfield **`|l`** rather than repeating the field. You can also add subfields **`|m`** , **`|y`** and **`|z`** for cancelled or incorrect ISSNs.

{% tabs %}
{% tab title="Serials/journals" %}
{% hint style="info" %} <mark style="background-color:blue;">**022**</mark>  3178-9387

<mark style="background-color:blue;">**022**</mark>  1560-1560<mark style="background-color:blue;">**|l**</mark>1234-1231<mark style="background-color:blue;">**|m**</mark>1560-1560
{% endhint %}

{% hint style="success" %}
You can search the ISSN portal for more information (or for tracing journal changes): <https://portal.issn.org/>
{% endhint %}
{% endtab %}
{% endtabs %}

If your identifier can't be put in **020** or **022**, consider [**024**](#optional-cooperative-fields-for-information).

## [040](https://www.oclc.org/bibformats/en/0xx/040.html) Cataloging Source (NR)

Field 040 has a logical relationship to the fixed field element [Srce](https://www.oclc.org/bibformats/en/fixedfield/srce.html)[.](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/bibliographic-record/leader-and-fixed-fields)

The preferred order of 040 subfields is: **`|a`**, **`|b`**, **`|e`**, **`|c`**, **`|d`**

RDA compliant records need to have each of these subfields in a **040** field:

**`|b`** = language of cataloging (not repeatable)\
\&#xNAN;**`|e`** = [description conventions](https://www.loc.gov/standards/sourcelist/descriptive-conventions.html) (repeatable)

i.e. <mark style="background-color:blue;">**040**</mark>  EUW<mark style="background-color:blue;">**|b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda

{% tabs %}
{% tab title="Books/journals" %}
{% hint style="info" %} <mark style="background-color:blue;">**040**</mark>  EUW<mark style="background-color:blue;">**|b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda

<mark style="background-color:blue;">**040**</mark>  DNLM/DLC<mark style="background-color:blue;">**|b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda<mark style="background-color:blue;">**|d**</mark>EUW
{% endhint %}

**`|a`** = the [**OCLC** member symbol ](https://www.oclc.org/en/contacts/libraries.html)for the library that **created** the record. **EUW** is Wellcome Collection's symbol, which is automatically applied in the cataloguing process

**`|d`** = the **OCLC** member symbol for the library that **modified** the record. **EUW** is Wellcome Collection's symbol, which is automatically applied in the cataloguing process
{% endtab %}

{% tab title="Visual" %}
In addition to complying with RDA, visual items also comply with [DCRM(G)](https://rbms.info/dcrm/dcrmg/) and [CCO](https://www.vraweb.org/cco) so subfield **`|e`** is repeated for each descriptive convention:

{% hint style="info" %} <mark style="background-color:blue;">**040  |b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda<mark style="background-color:blue;">**|e**</mark>dcrmg<mark style="background-color:blue;">**|e**</mark>cco
{% endhint %}
{% endtab %}

{% tab title="AV" %}
In addition to complying with RDA, AV items also comply with [FIAF](https://www.fiafnet.org/pages/E-Resources/Cataloguing-Manual.html) so subfield **`|e`** is repeated for each descriptive convention:

{% hint style="info" %} <mark style="background-color:blue;">**040  |b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda<mark style="background-color:blue;">**|e**</mark>fiafcm

<mark style="background-color:blue;">**040**</mark>  EUW<mark style="background-color:blue;">**|b**</mark>eng<mark style="background-color:blue;">**|e**</mark>rda<mark style="background-color:blue;">**|e**</mark>fiafcm
{% endhint %}
{% endtab %}
{% endtabs %}

## [041](https://www.oclc.org/bibformats/en/0xx/041.html) Language Code (R)

Codes for the languages associated with a resource when the fixed field element [**Lang**](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/bibliographic-record/leader-and-fixed-fields) is insufficient to convey full information for multilingual resources, resources that are translations, or resources where a medium of communication is a sign language.

Use the [MARC code list for languages](https://www.loc.gov/marc/languages/)

If this field is used, pair it with a human-readable [**546**](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/5xx#id-546-language-note-r) field to describe the languages in a note.

{% tabs %}
{% tab title="Not a translation" %}
1st indicator = **`0`**

Repeat **`|a`** for each language identified

[Other subfields are available](https://www.oclc.org/bibformats/en/0xx/041.html) to correctly and specifically describe each language present

{% hint style="info" %} <mark style="background-color:blue;">**0410**</mark> eng<mark style="background-color:blue;">**|a**</mark>fre &#x20;

{% endhint %}
{% endtab %}

{% tab title="Translation (full/partial)" %}
1st indicator = **`1`**

Repeat subfield **`|a`** for each language that has been translated from the original.

Use subfield **`|h`** for the language code of the original.

[Other subfields are available](https://www.oclc.org/bibformats/en/0xx/041.html) to correctly and specifically describe each language present

{% hint style="info" %} <mark style="background-color:blue;">**0411**</mark> eng<mark style="background-color:blue;">**|h**</mark>chi

*\[the text is in English, translated from Chinese*]

<mark style="background-color:blue;">**0411**</mark> eng<mark style="background-color:blue;">**|k**</mark>ger<mark style="background-color:blue;">**|h**</mark>swe&#x20;

{% endhint %}
{% endtab %}
{% endtabs %}

## 089 Image reference number (copy photograph number - Wellcome current) (R)

A local field for recording image reference numbers that have letter prefixes, photographed by Wellcome (i.e. M series glass plate negative numbers, L series, V series and so on).&#x20;

See Enquiries guidance for more information on how to use this field: [Online/digital images with static Miro metadata](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/bibliographic-record/broken-reference)

The indicators are both **`0`**

The image number has leading zeros (0) removed and replaced with a space, so \
M0009376 -> M 9376

{% hint style="info" %} <mark style="background-color:blue;">**08900**</mark>M 75694

<mark style="background-color:blue;">**08900**</mark>L 8598

<mark style="background-color:blue;">**08900**</mark>V 889
{% endhint %}

This field is indexed in Sierra and can be searched using "o Reference number" in the same format as the field is constructed (so no leading zeros and a space)

Images can also be linked in a [**962**](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/9xx#id-962-link-to-external-file-wellcome) field. Records with M series images/glass plate negatives that have been re-catalogued in CALM also have a [**787**](https://docs.wellcomecollection.org/library-cataloguing/9yMHsFGBXS9DDRGtdmSE/7xx#id-787-other-relationship-entry) field.

{% hint style="danger" %}
The existence of this field can create record merging (and removal can break a merge)
{% endhint %}

## Optional/cooperative fields (for information)

There are lots of fields in the **0XX** that are used in cooperative cataloguing, but we don't utilise them/add them at Wellcome.&#x20;

Some are more useful than others though, and they're listed in the table below:&#x20;

{% tabs %}
{% tab title="Books/journals" %}
